VENDOR ONBOARDING SPECIALIST

OBJECTIVE

The Vendor Onboarding Specialist is responsible for supporting the organization in assisting with the identification of vendors based on organization need, vetting of potential vendors, execution of the vendor onboarding process and analyzing the current vendor base to identify gaps that require expansion of the vendor base.   This position will support the entire organization with the two main internal customers being Construction and Property Operations. 

The successful candidate for this role will join and quickly analyze where the vendor coverage gaps are by market with the assistance of key stakeholders, develop an action plan and initiate the vendor sourcing efforts to close those coverage gaps.  The successful candidate will also review the current vendor vetting and onboarding processes for Property Operations and Construction to create an improved, standardized process.   Improving vendor communication to ensure that invoice submission processes are followed is also critical in this role.

This role will be instrumental in improving current vendor onboarding efforts.  The Vendor Onboarding Specialist will work closely with the Accounting department to ensure that vendors are set up properly in the respective systems.

This position will also assist us with implementing our market expansion plan as a part of growth ramp up.  This role will play a critical role in establishing a vendor base in each of the expansion markets to ensure that we have proper coverage in each of the service categories to support our resident base. This position has an impact on company financial performance, occupancy performance and resident satisfaction.

RESPONSIBILITIES

• Ensure that vendors are properly vetted and onboarded from a system, performance, and process perspective
• Source vendors for the services and trades that are required to support construction and property operations across all existing and expansion markets
• Standardize and execute consistently to the vetting and onboarding processes
• Communicate with vendors and ensure they receive proper instruction on how to interact with our technology for job execution and invoice submission
• Continually evaluate the vendor base, identify gaps and source for additional vendors
• Collaborate with construction and property operations as well as other parts of the organization for vendor needs

REQUIREMENTS

• Bachelor’s degree or equivalent experience
• Prior vendor sourcing and onboarding experience preferred
• Prior experience in property operations or construction environment is preferred
• Ability to work well using electronic tools and technology-based systems
• Excellent communication skills both written and verbal
• Ability to analyze data and identify trends
• Strong organizational skills and multi-tasking skills
• Ability to meet deadlines
• Ability to work well using mobile office electronic tools
• Demonstrated attention to detail
• Microsoft Office Suite skills required with a focus on Excel and Word
