Job Description:

We’re looking for a dynamic team member to handle personal and administrative tasks for a busy business owner. A variety of skills are essential for success including great interpersonal communication and organization. We need someone who is the face of our company, representing the office as an administrative point of contact for clients and contractors. You’ll be required to handle administrative tasks including communication with contractors or services (pest control, custodial, HVAC, etc.) or requesting maintenance when it is required.

The successful candidate will handle office management and communicate with senior staff regarding assigned projects as well as manage incoming/outgoing mail and signing for deliveries (UPS, FedEx, Certified Mail, etc.).

Duties include:

  • Office management
  • Contractor/Vendor management
  • Shopping (in store and online)
  • Ordering & price negotiations for office supplies; office supply maintenance
  • Scheduling and maintaining calendars for the owner
  • Coordinate all aspects of meetings and schedules
  • Manage travel & accommodations
  • Organization & filing, including creating and maintaining a filing system for paper/digital copies
  • Suggest improvements or give insights on how to improve efficiency
  • Assist with social media, marketing, email and media campaigns
  • Develop a consistent work flow that prioritizes duties on a day-to-day basis
  • Event planning
  • Manage projects from start to finish
  • Attention to detail is essential

Requirements:

  • Excellent organizational skills & detail-oriented
  • Proficient in Internet, email, Microsoft Office Suite, Google Docs, etc.
  • Ability to work as a team or independently as needed
  • Strong verbal & written communication skills
  • Ability to problem solve
  • Positive attitude and can-do spirit
