A Pageant Director/Events Coordinator is an Independent Contractor or full time employee position (you choose what you prefer) and provides oversight for a wide variety of events and activities. Must have an outgoing personality, the ability to communicate with people from differing backgrounds, ability to work with youth ages 13-24 from all walks of life and a bit of theatrical flair. If you're a detail-oriented person looking for a fast-paced work environment and enjoy the adrenaline rush of seeing events come to life this position may be an ideal job for you. We will be hiring Regional (local) Preliminary Directors, and State Directors that will manage the Regional Directors.
Job Description
An Events Coordinator/Pageant Director is responsible for logistics including room setup, reservations, decorations, entertainment, ordering food and marketing, oversee risk-management issues like crowd control and security, handle national marketing and outreach to media, design the program and run the rehearsal. From start to finish, a Pageant Director/Event Coordinator makes sure that all bases are covered.
Planning
• meeting with all stakeholders, including the event hosts, sponsors and some attendees.
• direct the creation of the event, setting out specific goals and outlining any particular wants.
• Planning includes reviewing venue choices, dates, agendas, itineraries, menu options, themes, guest lists and marketing options.
• Surveying potential attendees and contacting previous attendees.
Budgeting
• researching costs, this might include sending out requests for proposals to different venues
• making a site visit or visits to potential locations,
• projecting attendance, advertising and sponsorship revenues, and
• projecting all other costs to run the event
• prepares a detailed budget, including costs for such things as hotel rooms, catering, liability insurance, permits, audio visual needs, marketing materials, staff, T-shirts, decorations, entertainment and program books.
Negotiating
A key checklist item for this position is negotiating contracts. One of the selling points of Pageant Directors, event planners or organizers is their knowledge of event expenses, list of contacts, and ability to negotiate the best contracts for clients or the company the coordinator represents.
Duties include:
• working with and organizing the contestants
• advertises the upcoming pageant to get contestants to enter
• puts together contestant information kits that include materials that help the girls before and during the pageant, such as potential interview questions, wardrobe requirements, judging criteria and travel arrangements
• create the pageant's program, which is distributed to the audience, and
• advertise the pageant to bring in audience members
• each of the winners of a pageant receives a number of prizes including cash, scholarships and merchandise, and coordinators line up the sponsors and donors of the prizes. After the pageant is all over and one woman crowned the queen
• works with the winner, setting their travel, media and personal appearance schedule and coaching her/him to represent that pageant and organization.
• must decide on a date, time and place for the pageant and secure all the necessary reservations and permits
• audio, video and music, must also be lined up and scripted by the coordinator.
• in charge of hiring an emcee and putting together a script for the event.
• bring on advertisers and sponsors to help pay for the event
• hire judges for the pageant, coach them on the particulars of that pageant and prepare the judging sheets used during the pageant
• may need to arrange for travel and accommodations for the judges, as well as transportation, meals and other incidentals during the pageant
• post-event review and follow-up. This includes examining all venue and contractor bills, comparing the projected budget to actual performance, administering and evaluating attendee surveys, sending out post-event press releases and preparing a report for the host, with recommendations regarding future events
• provide leadership and direction to staff and committee members and volunteers
• ability to connect and communicate both verbally and in writing with people from diverse backgrounds or cultures
• oversees or handles advertising, brochures, pamphlets, fliers and ticket production as well for these events
• Oversees site setup, vendor placement, performers, caterers and volunteers; makes yourself available for the crises that inevitably arise.
Education Requirements
Must have at least a high school diploma and some college. Ideal candidates have a background in business, hospitality, events, coaching, teaching, productions, parks and recreation or marketing. Strong interpersonal communication skills, detailed planning and organizational skills, a demonstrated ability to multi-task and a creative flair will set you apart.
This position can be full time or part time depending on your availability. We are strongly open to hiring youth between the ages of 16-24.
