Our client, Charm City Care Connection (CCCC) is seeking a dynamic Operations Administrative Specialist to be a vital part of our harm reduction facility. ABOUT CHARM CITY CARE CONNECTION

Located in the heart of Baltimore City, our harm reduction facility, Charm City Care Connection, is dedicated to connecting individuals impacted by drug use to high-quality healthcare services. Rooted in dignity, justice, and respect, we actively involve affected communities in our planning and programming. With a harm reduction framework [ Harm reduction is a set of practical strategies and ideas aimed at reducing negative consequences associated with drug use. Harm Reduction is also a movement for social justice built on a belief in, and respect for, the rights of people who use drugs ]. Our services include a syringe services program, naloxone distribution, a drop-in center, and a small housing program. 

 

ABOUT THE OPERATIONS ADMINISTRATIVE SPECIALIST 

 

As the Operations Administrative Specialist, you will be a key player of our operational success. This is a unique opportunity to be the go-to person, managing a variety of projects and contributing to the seamless functioning of our facility. From human resources and financial management to administrative and communications support, this role allows you to be the Jack of All Trades, driving positive change in the realm of substance use and harm reduction.

Full-time, exempt

Reports to: Director of Operations

 

COMPENSATION AND BENEFITS:

  • Base Salary Range: $55,000 to $65,000, commensurate with qualifications and experience

  • Medical Insurance: 100% medical coverage for employees

ESSENTIAL DUTIES

Human Resources:

  • Update job requirements and descriptions to align with organizational needs.

  • Provide comprehensive support throughout the end-to-end recruitment processes.

  • Assist in the implementation of new policies, ensuring seamless integration into existing frameworks.

  • Act as a knowledgeable consultant on policies and procedures, offering guidance to managers and staff.

  • Support performance review processes, contributing to the continuous improvement of employee performance.

  • Conduct orientation and training programs, facilitating the onboarding of new employees.

  • Assist with payroll management and maintain accurate personnel databases.

Financial:

  • Manage vendor relationships efficiently to ensure smooth operations and cost-effectiveness.

  • Perform monthly reconciliation and maintain meticulous financial records.

  • Take charge of budget management, overseeing inventory and program financials.

Administrative:

  • Efficiently manage both virtual and in-person meetings and events, ensuring seamless execution.

  • Provide comprehensive administrative support, including calendar management and technical assistance.

  • Coordinate staff training, contributing to the ongoing professional development of team members.

  • Manage grants effectively, including executing contracts and monitoring timelines.

  • Oversee data entry processes and generate monthly reports to track key performance indicators.

Communications:

  • Provide valuable support for communications related to the drop-in center, social media, and newsletters.

  • Maintain the CCCC website with up-to-date information, reflecting the organization's current initiatives and activities.

REQUIREMENTS

  • 3+ years of prior office administrative and/or operations related experience handling HR and financial responsibilities

  • Capacity to work in a harm reduction site and familiarity with drug usage

  • Attention to written and numerical detail, commitment to accuracy, and strong organizational skills

  • Proficiency in Google Suite and MS Office applications, especially Excel 

  • Strong time-management skills

  • Self-motivated team player with excellent interpersonal and communication skills

  • Ability to work with and communicate with all levels of diverse populations

 

Preferred Qualifications

  • 5 years of prior office/administration and/or operations experience handling financial, HR and communications responsibilities

  • Prior experience working in a non-profit organization

  • Active interest in harm reduction, drug usage, substance abuse, and/or social justice 

  • Undergraduate degree preferred

 

THE SCHEDULE AND WORKING CONDITIONS

  • Schedule: Monday - Friday, 8:30am to 4:30pm

  • Hybrid: 3 days in office (Baltimore, MD 21213) and work-from-home 2 days 

  • Position involves prolonged periods of sitting, requiring consistent use of a desk and computer

  • Confidentiality and Access: The position involves working with sensitive information; confidentiality is crucial. Criminal background checks are required.

  • Location: Harm Reduction site in Baltimore City, MD (21213)
