Job Description:

The Data Entry Specialist will be responsible for accurately inputting, updating, and maintaining data across various systems. The individual will ensure that the data is organized, complete, and accurate, and assist in improving data processes within the organization. This role requires a high level of attention to detail, speed, and efficiency.

Key Responsibilities:

  • Enter, verify, and update data in the company’s database and other systems accurately and in a timely manner.
  • Review and validate data for accuracy and completeness before entry.
  • Resolve discrepancies by using standard procedures or returning incomplete documents for resolution.
  • Maintain electronic and physical records of data by following established filing systems and procedures.
  • Assist in compiling and organizing reports from databases for management and other departments.
  • Regularly review data entries to identify and correct errors or inconsistencies.
  • Perform audits of data for quality assurance and reporting.
  • Collaborate with team members and other departments to ensure proper data handling and management.
  • Follow confidentiality guidelines to protect sensitive information.
  • Assist with any administrative tasks as needed, such as filing, document preparation, or answering customer inquiries regarding data.

Qualifications:

  • High school diploma or equivalent; additional qualifications in data management or administration are a plus.
  • Proven experience in data entry or a related field, with a demonstrated ability to maintain a high degree of accuracy.
  • Proficiency in data entry software and systems (e.g., Microsoft Excel, Google Sheets, databases).
  • Fast typing skills with exceptional accuracy (usually 40+ WPM).
  • Strong attention to detail and the ability to spot data discrepancies.
  • Excellent organizational and time management skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Familiarity with office equipment such as scanners, copiers, and printers.
  • Good communication skills and a team player.
