Under the general direction of the Assistant Director for Continuing Education and Rentals, the Program Specialist 2 supports the College’s commitment to offer rentals and educational events that support the College’s Strategic Plan.  This position coordinates and implements all aspects of college-wide rentals and events.   
 

ESSENTIAL JOB DUTIES 
 

  • Facilitates and coordinates the scheduling of community rental events, conferences and activities held on campus including the completion of rental agreements, space reservations, staff utilized and invoicing for payment. Serves as the college liaison with department managers, security, maintenance/custodial, and room scheduling personnel. 
  • Responds to inquiries from both on-campus and external clients using independent judgment in the interpretation/application of rental policies. 
  • Promotes the rental program to campus clients and the general public.  
  • Maintains a competitive rental pricing structure, required records, invoicing and collection of funds in order to maximize rental revenue to the College. 
  • Responsible for the supervising, scheduling and coordinating the work of hourly media technicians and building monitors who support rental events. 
  • Assists with Community Engagement activities on campus including recruitment, college-sponsored community events, and Shoreline Film office event coordination. 
  • Assists Assistant Director on forecasting, reporting, and providing updates on budget and records. 
  • Other duties as assigned of a similar level/nature.
Qualifications:

REQUIRED EDUCATION & EXPERIENCE:

  • Bachelor’s degree and two (2) years of experience in rentals, event/project management OR equivalent education and experience.
  • Ability to communicate in English both in person and through other appropriate means. 

KNOWLEDGE OF:

  • Best practices in rental management, community awareness, and budgeting can I state ability to speak English on a job posting
  • Basic accounting skills and knowledge of basic accounting software programs
  • Microsoft Office Access, Excel, Outlook, PowerPoint and Word programs 

SKILL IN:

  • Fostering a climate of equity and belonging through multicultural awareness and responsiveness
  • Time management, organization, and ability to meet competing deadlines/priorities
  • Entering and/or retrieving data accurately in computerized record keeping systems
  • Handling difficult and sensitive situations, using sound independent judgment within College/legal guidelines
  • Writing/editing/proofreading clear and concise materials resulting in effective oral and written communication with individuals inside and/or outside of the College
  • Establishing and maintaining effective working relationships at all organizational levels
  • Ability to work with a diverse group of students, staff, and the public in a friendly, courteous and helpful manner
Conditions of Employment:

PHYSICAL WORK ENVIRONMENT:

The College is currently providing services in a mixed modality of operations (both online and in-person services are offered). This position will perform work in a standard office setting, use standard office equipment and physically attend meetings both on and off campus, ability to communicate in person or through appropriate means. Please note, there may be limited opportunities for online work depending on program or area needs. If authorized for online work, employees will need to provide their own workspace and internet access, noting the College will provide technical equipment and support for online work needs. 

  • Ability to meet the physical demands of sitting for prolonged periods of time at a desk/computer workstation, using repetitive arm, hand and finger movements. 
  • Ability to work in an open office setting with frequent in-person interaction and numerous interruptions, work under pressure, and handle multiple tasks/prioritize competing demands. 
  • Ability to read printed materials and a computer screen. 
  • Ability to work evenings and weekends as assigned. 

TERMS OF EMPLOYMENT/SALARY: 

This position is allocated to pay range 42 under the Washington State Office of Financial Management higher education salary schedule.  Salary placement for new employees is determined by the College. This position works 40 hours per week, with schedule dependent upon department needs.  Hiring of this position is contingent on available funding as determined by the College President.
