Job Summary

That's why we need you, a personable, enthusiastic administrative assistant who is flexible and committed to working hard. You will work hand-in-hand with our upper management to organize, improve and implement internal processes and client databases. Offer support as needed, including (but not limited to) managing calendars, scheduling meetings, answering phones and taking detailed messages and meeting notes.  You will also be challenged by the high-energy environment where you will be a key support to our leadership. Job Responsibilities
  • Answer office calls promptly and in a friendly and professional manner while determining whether it is appropriate to direct them to upper management.
  • Arrange meeting details for upper management.
  • Listen to upper management meetings and enter notes in our internal system
  • Facilitate external communication by 
    • Record meeting sessions and send to customer
    • Following up on upper management emails and calls
  • Learn our internal client ticket system and begin the organization and standardization of its digital documents
  • Keep upper management informed of the status and urgency of their assigned tickets
  • Facilitate internal communication by occasionally acting as a liaison between upper management and employees.
  • Systemize follow up by monitoring upper management client contacts to ensure that on a daily, weekly, monthly or annual basis rapport is being built and their needs are being adequately met.
Job Skills & Qualifications

Required
 
  • Strong knowledge of word processing and Microsoft Excel software, filing systems and general office procedures
  • Verbal and written communication skills
  • Well-developed interpersonal skills and knowledge of customer service principles, including customer needs-assessments and customer satisfaction evaluations
  • Accuracy and attention to details
     
Preferred
  • High school diploma or equivalent
  • Previous administrative experience
