JOB DESCRIPTION

Administrative Assistant

Position Overview

Administrative Assistant is a part-time employee to assist in day-to-day activities. He/she provides support to the cemetery staff and functions as assistant to the COO. The Administrative Assistant works closely with funeral homes, monument companies, vendors, and families to ensure services are provided in a professional manner.

Hours

Monday - Friday, 9:00 a.m - 3:00 p.m. (30 hours per week)

Essential Duties and Responsibilities

  • Maintain a positive and professional attitude when working with the public, volunteers,
and staff.
  • Serve as assistant to the COO providing administrative support when necessary.
  • Act as cemetery receptionist, answering the phone, helping visitors with maps, directions to grave sites, work order requests, and other appropriate and reasonable requests.
  • Serve as the initial point of contact for funeral homes and families requesting at-need or pre-need burial services.
  • Ensure all necessary burial forms are complete, signed and recorded.
  • Maintain the cemetery’s database, website, burial files, and create data entries for past records.
  • Work closely with the COO and Grounds Superintendent to ensure proper burial services and merchandise are provided for both at-need and pre-need requests.
  • Initiate and maintain contracts for sales of services and merchandise.
  • Lead funeral processions to burial service location upon their arrival at the cemetery.
  • Provide tours of cemetery grounds to funeral directors, families, and general public
  • Ensure appropriate follow up and condolence letters are sent to family after burial.
  • Work closely with the monument companies approving and tracking orders.
  • Provide assistance with grant documents and grant recordkeeping.
  • Assist public with inquiries regarding genealogy and records research. Respond to inquiries in a timely and courteous manner.
  • Responsible for managing the volunteer program which includes networking, recruiting,
and training.
  • Prepare mailings for Board initiatives as needed.
  • Maintain confidentiality and discretion in all matters related to Glendale Cemetery.
  • Responsible for keeping the cemetery office clean and safe for visitors.
  • Other duties as assigned.
Qualifications

To perform this job successfully an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities required.
  • Strong verbal and written communications skills are essential, along with a strong awareness of customer service skills.
  • Must demonstrate excellent judgment, organizational skills, a professional manner, and good human relations skills.
  • Ability to set goals and meet deadlines.
  • Must be able to handle multiple projects or tasks and be detailed oriented.
Education and/or Experience * A minimum of High School diploma, or equivalent. A college degree is preferred.
  • Experience in office procedure and management.
  • Computer literacy, including familiarity with Microsoft Windows, Word, Excel, Power Point, and database management is required.
Usual and Customary Expectations
  • Prolonged erect seating, on average five hours a day.
  • Approximately one hour of standing and/or walking in an average workday.
  • Ability to carry on normal conversation, in person and by telephone.
  • Some non-traditional hours required.
Job Type: Part-time

Salary: $12.50 to $16.50 /hour

Experience:
  • Microsoft Word and Excel: 2 years (Preferred)
  • Customer Service: 1 year (Preferred)
