Job Summary:
We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management and visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, and generally being a helpful and positive presence in the workplace.

To be a successful Administrative Assistant, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. Administrative Assistants must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, Administrative Assistants should have a genuine desire to meet the needs of others. 

Primary responsibilities:

  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
  • Providing real-time scheduling support by booking appointments and preventing conflicts.
  • Screening phone calls, record call information, and routing callers to the appropriate party/take and relay messages/send to voicemail.
  • Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
  • Greet and assist visitors.
  • Answer inquiries about the company.
  • Ensure reception area is tidy.
  • Coordinate mail flow in and out of the office. Sign for packages.
  • Maintain polite and professional communication via phone, e-mail, and mail.
  • Anticipate the needs of others in order to ensure their seamless and positive experience.
  • Log visitors, provide visitor badges, call persons waiting for the visitor, and direct to proper location/ask to wait for the employee.
  • Hand out employee applications.
  • Other various tasks as assigned by the CEO or COO.

Requirements:
  • Associate’s Degree in a related field preferred.
  • Prior administrative experience.
  • Excellent computer skills, especially typing.
  • Attention to detail.
  • Multilingual may be preferred but not required.
  • Desire to be proactive and create a positive experience for others.

Company Description:

Domestic Violence Outreach (DVO) was created in 2000 by a mother-daughter team, both of whom had experienced violence at the hands of their domestic partners.  It was created as a support network and a tool for community education.  The founders of DVO believe that no one deserves to feel afraid in their own home and that children should not grow up in an environment of violence or emotional abuse.  

 

DVO is a not-for-profit organization that reaches out a hand to help people in abusive situations to break free from the ties that bind them to their abusers, to help them find within themselves the strength to make new lives for themselves and for their children.  This is done through support, counseling, and referrals for services within the community.  

 

DVO also endeavors to educate the public, particularly children in late elementary, middle and high schools, about the nature of interpersonal violence, so that they do not become the next generation of victims and so that they know how to reach out to each other in love and respect. They also speak to College students, parenting classes, and have done a few DV events for local shelters, "tailoring" their programs to the audience (adults, teens, kids, LGBT, abusers, abused, etc).
