Our client, 1st Step Accounting is seeking an Administrative Assistant to join their dynamic team of 3 at 1st Step Accounting. The primary responsibilities include managing and organizing email inboxes, serving as the main point of contact for virtual clients and office visitors, collecting and organizing documents for tax preparation and bookkeeping, coordinating company calendars, and overseeing office operations. The role reports directly to the CEO and requires excellent organizational skills, strong communication abilities, and discretion in handling confidential information.
THE TYPE OF WORK THAT YOU'LL DO
Manage and organize three email inboxes, ensuring timely responses and delegation of emails.
Act as the main first point of contact for virtual clients and visitors, providing exceptional customer service.
Collect and organize documents from clients for tax preparation and monthly bookkeeping activities.
Coordinate and manage the company calendar, including scheduling appointments and meetings.
Maintain and update Standard Operating Procedures (SOPs) for the company.
Oversee office supply inventory and ensure a well-stocked and orderly office.
Receive and manage incoming packages and mail.
Assist in various administrative tasks, including document preparation, filing, and data entry.
THE SCHEDULE AND WORKING CONDITIONS
Schedule: Monday - Friday, 10-6 or 9-5
Virtual Work: <10% of the time; mostly in-office position
Job involves prolonged periods of sitting, requiring consistent use of a desk and computer
Confidentiality and Access: The position involves working with sensitive information; confidentiality is crucial. Criminal background checks are required
Location: Must reside in the local commuting area | Baltimore, MD 21239
COMPENSATION AND BENEFITS:
Base Salary Range: $55,000-$65,000
Benefits: 401(k) plan with 6% match (vested after 1 year), QSEHRA Health insurance reimbursement up to $400/month, 2 weeks PTO
WHAT MAKES THIS ADMIN ASSISTANT SUCCESSFUL
At least 2 years of previous experience handling administrative tasks independently
A desire to always learn new technology with proficiency in Microsoft Office, Google Workplace products, and CRM
Thrives on collaborating with others and adept at handling responsibilities upwards
Excellent digital organizational skills
Capacity to handle manage multiple projects and timelines
Demonstrated success with verbal and written business communications
Experience handling confidential information with discretion
Minimum High school diploma but some college, preferred
Industry knowledge and/or background in accounting or tax services, preferred
