We have partnered with a large Manufacturing company in the Melville, NY area to provide them with an Administrative Assistant, Regulatory Affairs.

Responsibilities of the Administrative Assistant, Regulatory Affairs:

To assist with various administrative tasks for the Regulatory Affairs (RA) Department, including general administrative support, assembly and archival of documentation and correspondence, purchasing and tracking of invoices versus budget, and scheduling and making travel arrangements for RA staff.

  • Assists the team with the assembly of the electronic and paper documentation for renewals, new registrations, variations and all other types of submissions;
  • Assists in the creation and input of documents in Expresso in support of regulatory filings and design history files.  This including scanning and filing various documents in Expresso
  • Generate copies as required, both electronic and hard copy, for regulatory filings and design history files;
  • Assists with archival of all the regulatory correspondence and documentation as hard copy files, electronically, and electronically within the Expresso system;
  • Print, copy and assemble documents into files, binders, etc. as necessary, including that required for regulatory filings and design history files;
  • Create indexes and tables of contents for documents, including regulatory filings and design history files;
  • Manage files for contracts, Safety Data Exchange Agreements and other agreements as necessary;
  • Generate contract and nondisclosure agreement requests;
  • Assist in all the finance-related tasks for the Regulatory Department, including managing invoices and purchase orders in SAP, ensuring that they are assigned to the correct budget line, and obtaining signatures and forwarding to Accounts Payable;
  • Provide general administrative support to RA by handling daily mail, incoming and outgoing, answering the telephone, and handling other general office inquiries;
  • Responsible for maintaining a stock of office supplies necessary to the function of the unit and for ordering as necessary;
  • Make travel, meeting and seminar arrangements for RA personnel as required;
  • Expense reporting for RA management personnel;

Requirements of the Administrative Assistant, Regulatory Affairs:

  • Accustomed to working in a team environment
  • Capable of managing multiple tasks and projects simultaneously.
  • Excellent communication skills, both verbally and in writing.
  • High School Degree.
  • Associates degree preferred
  • Computer Experience: Microsoft Office including Excel, Word, PowerPoint, and Outlook, and Adobe Professional.  Experience with other software/database programs such as SAP, Documentum, Microsoft Visio, and Microsoft Project a plus.

H1B or OPT Visa's accepted.
