Job Description:

GENERAL NATURE OF WORK

This position serves as the primary contact for visitors, oversees retail operations for the gift shop, coordinates membership promotions and sales, assists with marketing functions, oversees rentals, and assists with special events and garden programs. Also, responsible for balancing cash receipts, making deposits, reconciling financial statements, writing checks, handling vendor invoices, maintaining the membership database.

 

The incumbent needs to provide exceptional customer care, manage time efficiently, maintain a professional demeanor while serving visitors; display attention to detail;  show initiative; be able to assess and resolve visitor needs quickly; be comfortable with financial operations.

 

Must be able to work with members of a diverse community. Candidate will perform other duties as assigned.

 

REPORTS TO: Environmental Education and Communications Manager

 

EXAMPLES OF WORK

            Visitor/Member Experience

  • Oversee daily visitation. Assist visitors in planning their visit.
  • Promote, sell and track garden memberships. Maintain timely, relevant communication with garden members following established best practices.
  • Coordinate with garden staff and volunteers to ensure smooth visitor experience.
  • Provide assistance with garden events, especially the Gala and Gallop.

 

Gift Shop/Retail Sales/Rentals

  • Work with supervisor to plan and execute training for gift shop volunteers. Coordinate gift shop volunteer schedules.
  • Responsible for all aspects of gift shop management – Create an SGG Brand and establish a collection-based retail operation featuring GA grown/made products. Develop a quality retail operation. Forecast volume and establish quarterly sales goals.
  • Serve as primary on-site venue representative. Present proactive, solution-oriented demeanor. Establish sales goals. Coordinate rentals from signed contract through clean up. Work with all staff to endure all rentals are covered. Troubleshoot any situation and resolve to client satisfaction.

 

Administrative

  • Order office supplies and other supplies as needed.
  • Maintain volunteer records, contact information and volunteer hours, etc.
  • Prepare accounting reports (monthly and annually) on an as needed basis.
  • Prepare monthly reports on visitor demographics and membership sales.
  • Write press releases and social media posts. Assemble promotional calendars and flyers.
  • Track income from admissions, gift shop sales, plant sales, events, programs. Handles bank deposits, reporting to GEMS.
  • Handle check payments, invoices and updating GEMS – for retail sales, education programs, plant sales, horticulture and rentals.

 

Physical Demand(s)

  • The employee will occasionally be required to lift up to 50 pounds.

 

Work Environment

  • While performing the duties of this job, the employee is frequently exposed to outside weather conditions.
  • The employee is regularly exposed to wet/or humid conditions, extreme heat or extreme cold.
  • The environment can be moderate to fast-paced.

REQUIRED QUALIFICATIONS

A Bachelor’s Degree, plus 2-3 or more years of customer service experience (preferably in a museum/non-profit setting); however a high school diploma with additional experience in a museum/non-profit setting may substitute for a college degree

  • Ability to work in an environment where teamwork, professional respect, personal ethics and character are the foundation for achievement
  • Demonstrated ability to work independently and as part of a team
  • Ability to multi-task and greet visitors plus show attention to details
  • Computer literacy skills, with eTapestry, Silent Auction Pro, GEMS, or WordPress experience a plus.
  • Excellent verbal and written communication and presentation skills; proficient English language skills, including spelling, punctuation, grammar, construction and usage
  • Ability to work with volunteers representing diverse backgrounds and ages
  • Proficiency in social media and web-based platforms

 

WORK HOURS AND CONDITIONS

Full time, non-exempt, Tuesday through Saturday, 8 a.m. to 5 p.m. Must be able to work a flexible schedule, as needed, including evenings and holidays. Schedule is subject to change based on organization needs.

 

ADA REQUIREMENTS

Incumbent must be able to perform this position with or without a reasonable accommodation, as this position will require various physical activity including bending, stooping, and squatting.  Employee must have the ability to lift a minimum of fifty pounds.
