We are seeking a RECEPTIONIST/OFFICE ASSISTANT to manage our front desk and perform a variety of administrative tasks. You will be the first point of contact for our company. Responsibilities include offering administrative support across the organization, welcoming guests and greeting people who visit the office. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful, you should have a pleasant personality, as this is a customer service role. You are a master at dealing with emergencies in a timely and effective manner, while streamlining office operations.

What might a typical day look like?

  • Greet and welcome guests
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls
  • Ensure reception and kitchen areas are clean and tidy and presentable throughout the entire day
  • Update calendars and schedule meetings
  • Arrange travel and accommodations
  • Order breakfast, lunch and/or dinner for company events, employees, and/or clients
  • Provide accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk
  • Order office supplies and keep inventory of stock
  • Perform miscellaneous administrative duties such as filing, photocopying and faxing

Requirements
  • Proven work experience as a Receptionist, Front Office or similar role
  • Proficiency in Microsoft Office Suite - Mac/Apple preferred
  • Hands-on experience with office equipment (e.g. copiers, printers, fax, etc.)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Confidentiality and integrity is a must
  • High school degree; certification in Office Management a plus
