Introduction: Chicago Apartment Place, Inc. is a progressive real estate property management company in the Lakeview area on the north side of Chicago looking for an Administrative Assistant to join our team. The position will pay $17/ hour, based on experience, plus benefits.
Summary: The Property Management Administrative Assistant is responsible for the overall front office activities, including receptionist duties, mail, and facilities. Primary responsibilities include leasing assistant tasks and handling all incoming calls and visitors, while providing clerical and administrative support to office management and other staff.

Duties and Responsibilities:
Leasing –
- Check and respond to voicemails and emails along with setting up leasing appointments via phone and email;
- Advertise our listings on all our marketing platforms;
- Prepare and complete paperwork and leases and enter these into our systems;
- Assist with our move-out procedures and inspections; and
- Prepare and maintain content for our social media.
Tenant Services –
- Tenant communication via phone, text or email as needed;
- Assist with turnover-related tasks such as coordinating walk-throughs, preparing and collecting checklists, locks and keys; and
- Assist tenants with maintenance requests and other matters as needed.
Administrative –
- Greet and attend to all persons entering the office;
- General office tasks may include, but are not limited to
- Answer and respond to or route phone calls;
- Data entry, filing, mail distribution, faxing, etc.;
- Track and replenish office supplies inventory; and
- Keep the office tidy and presentable.
- Provide staff with administrative support and perform other duties such as
- Assist with outgoing mail;
- Assist with accounts payable and receivable as needed; and
- Complete walk-throughs with tenants, inspectors, or appraisers.
Perform other duties as assigned by office management and other staff.
Work Environment:
General daily duties occur at our main office. Other duties such as meeting appraisers and inspectors, walkthroughs of apartments with tenants, apartment showings, and other assignments, may occur outside of the office, generally at the various properties under our management.

- Must have good customer relation skills and ability to interact with the general public;
- Must have excellent written skills to independently compose general correspondence;
- Ability to work a flexible schedule, including evenings and weekends, as needed; and
- Must have reliable means of transportation, valid driver’s license, insurance and a cell phone.
Education and Experience:
- Highly proficient with computers and Microsoft Office software;
- Experience handling a large volume of calls and emails; and
- 1-3 years of administrative experience.
