We're seeking an Operations Director for our clinic located in Memphis! We're looking for those who are eager to help us bring ABA to all communities by closing the gap in long awaited services!
This is an opportunity for a goal driven individual to join our growing team and work with us on the ground level as we seek to build the best ABA program in the region and elsewhere.
The Operations Director reports to the CEO for all of the duties and responsibilities listed below and for other duties that the CEO may assign. The Operations Director will share job responsibilities with Office Manager and the other administrative members and clinical leads, which may include:
Essential Duties and Responsibilities:
The Administrative Manager reports to the CEO for all of the duties listed below:
• Manages administrative staff and daily office operations
• Manages clinic procedures and helps implement procedural changes as necessary
• Manages the tracking of equipment and devices, and manages inventory
• Coordinates facility cleaning, hygiene, safety, and maintenance
• Manages the credentialing of new employees with insurance payors
• Collaborates with the Clinical Director to ensure initial client intakes are conducted in a timely manner
• Provides outreach and marketing support for the clinic to meet operational metrics
• Manages team building activities that promote positive workplace culture
• Assist with scheduling of client sessions, training, and special events
• Works with clinical leadership to ensure appropriate staffing levels for the clinic
based on client needs
• Provides or make available technical support for the clinic on internal systems and collaborates with the team to implement advanced solutions
• Creates new employee’s email addresses and setting up accounts
• Track client authorizations
• Maintain client records in practice management system (Theralytics)
• Assist clinical staff in submitting reauthorizations to insurance companies
• Follow up with insurance company on submitted authorizations
• Maintain up-to-date insurance information on clients
• Communicate with families and other providers to facilitate services
• Oversees office manager, administrative assistant, outreach educational specialist, and human resource manager
• Background checks for all staff
• Create a physical and electronic folder for clients and give to administrative assistant
• Safety Care Trainer as needed
• Additional duties as assigned
General Responsibilities:
• Project support, i.e., business development, operations improvement plans
• Contract coordination activities, i.e., contract renewals, required documents

• Written and verbal communication; able to communicate with diverse members of the community clearly and effectively
• Problem resolution: tenacious, can navigate through obstacles to find a way forward
• Highly organized; can prioritize work timely and efficiently while maintaining a high quality of work
• Meticulous attention to detail; ability to review lengthy packets of paperwork to ensure all details are accurate
Qualifications:
• Ability to maintain confidential information, i.e., handle sensitive case files and follow HIPAA/FERPA regulations
• Ability to work in a fast paced environment; handle multiple situations simultaneously and meet deadlines in an efficient manner
• Proficiency with basic math; multiplying and dividing accurately utilizing a calculator
• Proficient technical skills; working knowledge of Google apps including Gmail, Docs, Sheets and Calendars or equivalent programs
• Experience or knowledge in ABA service delivery preferred
• Bachelor's degree or associate degree, Highschool diploma or equivalent with 2 years of professional work experience

Pay: $51,000.00 - $55,000.00 per year
