Office Assistant

We are looking for a reliable and competent Office Assistant with an exceptional work ethic to help with the organization and running of the daily administrative operations of the company. The ideal candidate will be a hard-working professional willing to learn and able to undertake a variety of office support tasks while working diligently under pressure. This person will be comfortable working with a high degree of attention to detail and able to follow directions. Must have a friendly, professional telephone personality and work well in a team environment.

All training is provided. There is a 90 Day Probationary Period after which there will be an evaluation of work performance. Wages will be paid, commensurate with experience. Benefits available after 90-day probationary period; One week of paid vacation after one year of continuous service, 6 paid holidays per year and health insurance.

Responsibilities

· Organize office and assist associates in ways that optimize procedures

· Sort and distribute communications in a timely manner

· Create and update records ensuring accuracy and validity of information

· Intake customer information while creating rapport

· Create well-written reports in a timely manner with proper grammar

· Schedule appointments and dispatch trucks to jobs using computerized software

· Resolve office-related malfunctions and respond to requests or issues

· Maintain trusting relationships with customers and colleagues

· Manage office communications - fielding phone calls and emails

· Keep office filing system in order and purging when necessary

· Creating invoices and handling cash, check and credit card payments

· Providing as-needed support to Supervisor and Business Owners

· Keeping shared office spaces clean and tidy

· Maintain a good working relationship with Technicians in the field

Skills

· Preferred experience as a back-office assistant, office assistant, or in another relevant office role

· General working knowledge of office equipment

· Able to understand office management procedures & policies

· Excellent organizational and time management skills, able to self-pace working alone & team

· Multitask and quickly shift tasks to complete a variety of duties

· Recognize and respond to potential problems

· Take initiative to solve problems independently

· Maintain composure when things go wrong

· Excellent written and verbal communication skills

· Ability to work quickly but accurately

· Be prompt and prepared

· Familiarity with MS Office, specifically MS Word

Job Type: Full-time

Salary: $12.00 to $13.80 /hour
