Job Description:

Purpose of Position:

This volunteer role supports Heart of West Michigan United Way by performing reception, clerical, and general facility duties. Due to the sensitivity of the information handled, this employee must uphold all information with the highest level of confidentiality. Please note this is a non-paid volunteer opportunity.

 

Essential Job Duties and Expected Outcomes:

Office Coordinator

  • Courteous reception of all visitors/guests.
  • Answer telephone calls with professional courtesy, take accurate and complete messages or refer to the proper person promptly.
  • Maintain an atmosphere of friendly professionalism.
  • Visitor and parking log management.
  • Efficiently route all incoming materials to staff.
  • Sort mail by department and deliver to appropriate destinations.
  • Utilize and ensure the dual control process when handling incoming organization funds.
  • Ensure efficient processing for any additional incoming or outgoing communication (fax, packages, etc.).

 

Human Resources Coordinator

  • Onboarding
    • New hire preparation (new hire checklists, orientation package).
    • Processing background checks.
    • Ensure accuracy and timely submission of new hire forms.
    • Schedule benefits review/sign up.
  • Talent Acquisition
    • Manage open position log.
    • Support external recruitment efforts (online postings, career fairs, etc.).
    • Interview scheduling.
    • Email correspondence.
    • Meeting preparation and coordination.
  • Human Resources Generalist
    • Ensure professional and grammatically correct communication (proofreading, drafting communication, copy used for Human Resources, etc.).
    • Organize and file documents into appropriate locations.
    • Maintain inclusion training log.

Volunteer is responsible to perform other duties as assigned.


Complexity:

  • Ability to work independently with minimal directions.
  • High level of degree to detail and adherence to strict timelines.
  • Requires ability to see the interconnectivity of human resource functions and responsibilities to staff and organization.

Education and / or Experience

  • To be determined, with volunteer opportunity

Physical/Mental Abilities:

  • Employee is regularly required to sit and occasionally stand.
  • Moderate level of stress caused from tight deadlines.
  • Moderate level of mental and/or visual fatigue and/or eyestrain may result from looking at a computer screen for extended periods of time.
  • Moderate office noise level.
