Based in Champaign, Illinois, the Fairlawn team member will support the Corporate Maintenance & Services Organization, working alongside the Senior Manager of Maintenance & Services. The team member will coordinate and dispatch all internal and external vendor work for the Champaign-Urbana market and execute on administrative maintenance tasks across all of our markets. The overall objectives of this role will be to ensure all maintenance and services activities are organized, efficient and have the right level of oversight. The ideal candidate will have superior attention to detail, the ability to multi-task and general understanding of maintenance and vendor activities.

Maintenance & Vendor Assistant Responsibilities:
- Work during the scheduled hours for this role of 7AM to 4PM, Monday - Friday (subject to change if business needs change)
- Scheduling and dispatching internal maintenance and services technicians for properties within the Champaign-Urbana market
- Owning vendor scheduling and dispatching within the Champaign-Urbana market including scheduling vendor work orders, tracking and ensuring work is completed to specifications and actual charges are as quoted
- Completing out maintenance work orders when work is completed so appropriate charges can be added and billed
- Serve as front line customer service for our maintenance department including reviewing requests coming in via our call center and online, contacting residents to update on request status and following up with residents to ensure satisfaction
- Key room organization and key room log (ensuring checking in and out of keys is following protocol and auditing key room on at least a weekly basis)
- Doing an initial organization of our Maintenance Shop and then auditing organization on a regular basis
- Company vehicle condition tracking across all relevant properties
- Benchmarking vendor and supply rates to ensure we have access to the best rates for our clients
- Inventory tracking and supply ordering
- Maintain good rapport with current and prospective residents, including corresponding directly with existing residents on access to their units (e.g. for preventative maintenance, pest control, etc)
- Supporting maintenance and vendor activities across all properties as needed
- Other responsibilities as assigned
Maintenance & Vendor Assistant Skills and Knowledge Requirements:
- At least 1 year of relevant experience working within a Maintenance & Services organization
- Thorough understanding of general maintenance and how to troubleshoot basic requests
- Previous direct customer service experience required
- Comfort using a variety of computer applications required (e.g. Microsoft Office Suite)
- Experience with property management software preferred (e.g. AppFolio, Yardi, Propertyware)
- Excellent written and verbal communication skills
- Superior attention to detail, high energy and positive attitude
- Ability to work independently and also to work closely with other team members
- Ethical and professional conduct and integrity beyond reproach
Maintenance & Vendor Assistant Education Requirements:
- Associates Degree in a relevant discipline
Maintenance & Vendor Assistant Additional Requirements:
- Valid driver’s license and dependable vehicle. Limited in-town usage of personal vehicle for errands and property visits required, any out-of-County personal mileage reimbursed at the Federal rate
- Availability to work longer hours and weekends during market turnover in July and August (specific dates vary from year to year)
- Must be able to perform the physical functions of the position, not limited to: ability to walk properties, complete physical inspections and deliver resident communications
