Qualifications
 

  • 3+ years' experience as a legal assistant
  • Familiarity with legal documents and terminology
  • Ability to type with a speed of at least 60 wpm with high accuracy
  • Proficiency with MicroSoft Office Programs
  • Able to effectively prioritize and meet deadlines
  • Demonstrate a courteous and professional demeanor
  • Superior written and oral communication skills
  • Must be willing to learn and use ProLaw
  • Must be able to multitask
  • Willingness to work extra hours as needed


Responsibilities
 
  • Compose, transcribe and proofread legal documents
  • Make copies of documents, scan and save to file
  • Accurately file documents with the court ahead of deadlines
  • Completes E-filing in a timely and accurate manner
  • Communication with clients to obtain information necessary to prepare documents
  • Draft estate planning documents and letter for attorney review
  • Draft pleadings/estate administration documents/letters for attorney review
  • Assist with co-ordination and filing of income tac and estate tax returns
  • Assist with the collection, consolidation and accounting for all trust and estate assets in the trust and estate administration process
  • Complete edits to drafts and send out to client for review
  • Schedule signing meetings and finalize documents with date of signing and witness information
  • Witness/notarize for signing meetings
  • Opens mail, sets up necessary follow-ups, answers correspondence as directed. Distributes mail and papers for attorneys and staff
  • Dockets meetings and appointments
  • Review follow-up and handle if appropriate. Advise attorneys and others as deemed necessary
  • Schedule and review diary and docket appointments for assigned attorneys
  • Open and close client files according to office procedures
  • Assist other attorneys/Office Administrator/staff when requested
  • Inform Office Administrator when workload is light or heavier and requires assistance
  • Relives receptionist when needed or as assigned
  • Delivers mail to mailbox when needed or as assigned
  • Greets guests, lawyers and clients in a professional and congenial manner
  • Reserves, set up (including refreshments) and clean up meeting rooms
  • Keep track of law clerk assignments
  • Handles other items as requested by attorneys or Office Administrator
  • Helps maintain neat appearance of own general work area, offices of assigned attorneys, general office and kitchen areas
  • Makes coffee throughout the day, as needed, for meetings and/or general office use
