The Junior Administrative Assistant plays a critical role in supporting two VPs and the various functions that report into them inclusive of… Media, Sponsorships, Travel & Event Services, Consumer Engagement, Agency Management and Marketing Training. This position requires someone who is independent, organized, and enjoys working in a fast-paced, results-driven environment. The ideal candidate is someone who wants to MAKE THEIR MARK on the business and work in a culture that values determination, integrity, and a collaborative spirit.

This position is a critical role that supports the JAS of Sponsorships/Travel & Events/Consumer Engagement/Marketing Training and the VP of Media and their respective teams. This person is responsible for performing senior level, administrative activities to set the team up for success and requires an individual with sound business judgment and the ability to make independent decisions in a fast-paced environment.
Advanced proficiency skills required in Microsoft office, including PowerPoint, Word, and Excel, Teams, Web-ex. Excellent written and verbal communication skills are also required. The ability to anticipate needs, think critically and offer solutions to problems is a plus.
This position is based in our Frisco, TX offce and will have a hybrid schedule (3 days in the office, 2 days work from home on a weekly basis)
ADMINISTRATIVE ASSISTANT COMPETENCIES

Customer Service and Communication:

  • Delivers legendary customer service to all people who interact with the VPs, including fellow employees, peers, customers, and vendors.
  • Strong influencing, interpersonal and communication skills. Ability to communicate effectively in both written and oral format with Junior level management, and all internal/external contacts.
  • Anticipates the needs of their VP by proactively identifying ways to address issues and resolve problems quickly.
  • Escalates issues within the department that warrant immediate attention.
  • Execution of internal routing of marketing materials, contracts, and postal needs
PLANNING/ORGANIZING
  • Calendar management
    • Proactively manages and prioritizes calendars and itineraries to ensure more effective use of VP’s time
    • Proactively resolves scheduling conflicts and anticipates overlap in calendar
  • Travel management
    • Manage travel for VPs and Directors including booking travel through internal booking system, arranging rental cars, preparing travel packets, ensuring seamless communication
  • Expense Reports
    • Manage T&E expense reports for VPs and Directors leveraging our internal Concur System
    • Track expense reports in T&E tracking and present to VP monthly
    • May prepare periodic reports or documents including monthly billing reports and invoices. Monitor and update budgets based on input from managers, researching discrepancies and resolving as appropriate.

Meeting Management
  • Assist VPs and teams with meeting management including booking meeting rooms, setting up in-room AV equipment needs, sending out calendar invites, food and beverage set up in room and all other meeting elements.
  • Assist team and other administrative assistants with onsite and offsite meetings inclusive of bottler meetings, marketing planning meetings, teambuilding initiatives, etc..
  • Escorting guests to and from meeting rooms prior to meeting start time and ensuring all food, beverage, and other meeting needs are in place
BUSINESS AND TECHNOLOGY
  • Willingness to understand the business and industry in which the department operates
  • Provide administrative support to VPs and their teams, including using technology platforms to foster streamlined planning and meeting management.
  • Organize workload to comply with deadlines and priorities and work independently to complete routine department or group functions.
  • Train and educate new hires on in-room technology and KDP facilities
  • Strong organizational and technical skills including:
    • PowerPoint – proficient at building customized templates, formatting, and embedding images and videos.
    • Excel – Proficient at building customized spreadsheets, pivot tables, and sorting features for ease of manipulation of data.
    • Workday – Understanding of Workday features and how to navigate system for key deliverables.
    • Web-ex/Zoom/Teams – understanding of how to leverage web-ex and zoon for virtual meetings including setting up meeting, MS Teams – understanding of key features and how teams can leverage for speed to action and communication in a virtual environment.
Requirements:
  • 2+ Years of college preferred
  • 1-2 Years administrative assistance experience required. 
  • Proficiency in PowerPoint required
