Overview: Responsible for welcoming visitors, residents and staff, handling external as well as internal calls, receiving and exchanging messages and providing general information.
Important Duties And Responsibilities:
In this position, the following duties are standard. This list shall not be construed as being unique or all-inclusive. They can involve and delegate other duties.
- Carries out responses and reception duties by telephone as required.
- Takes full messages with necessary information and transmits messages to the intended recipient.
- Greetings to residents and to Guest. Answers questions, and offers guidance.
- Collates Advertising department brochures.
- Prepare meal tickets for members of the team and family members, which provide meal count sheets for the workers at Dining.
- Updates the daily Resident Phone List and Roster, Move-In and Move-Out Register; Guest and Sign-In Logs as required.
- Manages appointments for residents and family members such as hair dresser, transportation etc. but not limited to.
- Maintains and maintains neat and organized desk and entry area.
- Organizes, distributes mail to employees, the executive director and the coordinators of departments.
- Maintains adherence to all policies about company staff and defined operational policies and procedures.
- Many related tasks.
Guidelines
- Performs as the facility 's central support center, takes messages and redirects calls as appropriate.
- Supervises the flow of traffic into and out of the house, and ensures that visitors and residents sign in and out.
- Writes, copies and distributes a Census Form when residents are admitted or discharged, leaves the facility due to relocation, is removed as part of an emergency transfer, is removed due to absence or expires.
- Documents with family and resident concerns in the log book and report them to the appropriate supervisor
- Supervises distribution of flowers or packages to residents,
QUALIFICATIONS
The receptionist has to have excellent communication skills and basic computer skills. Must have strong organizational skills and have a multi-task capability. Have to enjoy working with the elderly people.
