- Administrative assistance, such as writing and editing e-mails, drafting memos, PowerPoint presentations, and preparing communications on the executives’ behalf
- Maintaining comprehensive and accurate records
- Minor accounting
- Onboarding new hires including orientation.
- Adding employee benefits
- Identify, recruit, and onboard new channel partners within assigned territory.
- Assist in partner marketing activities such as tradeshows, campaigns, and other promotional activities.
- Coordinating interviewing, recruiting, references, and documentation for staff.
- Assisting in developing policies and procedures.
- Coordinating exit process for departing staff.
Your role
- Act as the point of contact among executives, employees, clients, and other external partners
- Manage information flow in a timely and accurate manner
- Manage executives’ calendars and set up meetings
- Make travel and accommodation arrangements
- Rack daily expenses and prepare weekly, monthly, or quarterly reports
- Be a trusted partner to the executive team
- Format information for internal and external communication – memos, emails, presentations, reports
- Organize events and off-site meetings
- Take minutes during meetings
- Organize and maintain the office filing system
- Onboard new employees
- Organize HR files and information
Executive Assistant/HR Specialist skills and qualifications
- Excellent verbal and written communication skills
- Organization and time-management skills
- Knowledge of the US Health system and latest technologies used by health providers, health payors, and employer wellness is a plus
- Ability to meet deadlines under pressure
- Work experience as an Executive Assistant, Personal Assistant or similar role
- Excellent MS Office knowledge
- Outstanding organizational and time management skills
- Familiarity with office applications (e.g. e-calendars, ERP systems)
- Excellent verbal and written communications skills
- Discretion and confidentiality
Experience Requirements
- High School degree
- 3-5 years experience in HR or Administrative Assistant
- Experience working in start-up environments is a plus
- Experience in healthcare or employee benefits a plus
- Ability to occasionally travel
- Passion for excellent Customer Service
- Strong interpersonal communication (Both verbal and written)
