AT THE WELL CHIEF OF STAFF

At The Well is looking for a calm, clear systems-thinker to organize and actualize our growth as our founding Chief of Staff. Where others see ambiguity, this person sees an opportunity for structure. Our Chief of Staff  must be:

  • An expert project manager (5 - 10 years experience)
  • An experienced people manager (2 - 5 years)
  • Both highly strategic and operational

WHAT YOU’LL DO AS CHIEF OF STAFF

  • As our Chief of Staff, you will:
  • Be our operations guru;
  • Manage and grow our team and their work; and
  • Learn, innovate, and grow with us!

1. Be Our Operations Leader

  • Own Company Operations: You will take full accountability for a portfolio of functions: Executive Support, Database Management, Product Distribution, Organization Management, People Management, and Finance & Operations.
  • By 2020, you will grow into fully owning fundraising, board management, legal and finance, and in the interim, support Sarah and our consultants in their execution of these domains. You’ll be responsible for ensuring every domain has clear goals, resources, and measures of success. By 2020, you will also take over research and evaluation.
  • Organize and Manage Internal Workflow & Communications:  You will help team members design cross-functional workflows, and centralize those workflows into a single organizational management system. You will organize and manage our Slack channel and create and implement new systems that make us work smarter. You will be responsible for iterating on the organization’s operating dashboard, and transforming it into a tool for company-wide clarity and management
  • Execute Current and Future Operational Plans: You will manage the execution of our current operational plan and associated projects (i.e. organizational goals, budget and operating calendar). You will oversee the annual operational planning process for fiscal year 2020, working with the board, our finance consultants, and Sarah Waxman.

2. Manage Our Team and Their Work

  • Manage Consultants & FTE: You will become the reporting manager for at least three and up to seven part-time consultants (including finance, legal, admin, brand and content consultants, community organizers, and another one to two full-time hires in 2019), managing their work and communication flow for Sarah and including her only when necessary.
  • Manage Our Growth: You will support Sarah in hiring additional part- and full-time employees to take on bigger projects when necessary, and scoping and hiring for additional roles as we grow.
  • Organize, Uplift and Manage our Team: You will manage a growing roster of remote consultants and allies. It will be your job, in close partnership with Sarah, to transform this group of rockstars into a high-functioning global team. You will also be responsible for strengthening the communication loop between the team and Sarah, ensuring balance, communication, and transparency.

3. Learn, Innovate, and Grow with Us

  • Learn and Innovate: You will be our research and evaluation leader even though others will be explicitly focussed on this. You will improve processes, see opportunities, learn quickly and voraciously, and bring all of that back into At The Well to help us become better, faster.
  • Growth with Us Long Term: The responsibilities of this role will grow for 2020 to include direct oversight of our circles strategy, including the management of at least one full-time employee. Over time, for the right hire, this role has the potential to take on more direct people management and more direct accountability for core business functions. This role has the ability to evolve into a COO role over the next two to five years, and preference will be given to candidates able to jump or grow into that capacity sooner.  

YOUR EXPERIENCE AND EDUCATION

  • You have at least 5-10 years of prior related work experience.
  • You have Done. This. All. Before.
  • Operating in quarters and fiscal years is your jam.
  • You love building and managing teams.
  • You have prior experience working with database programs and software (such as Microsoft Excel, Outlook, Salesforce)
  • You are a spreadsheets person who has worked successfully with non-spreadsheets people.
  • You have experience working directly with a founder or CEO
  • You have worked in a fast-paced, growing start-up environment and LOVED IT.

WORK DEMANDS

  • Some weekend and evening work or travel may be required
  • Ability to travel to periodic in-person meetings in various U.S. locations
  • Ability to travel for up to a week at a time
  • Working with others virtually who are based in various time zones globally
COMMITMENT AND COMPENSATION

This is a full-time role with healthcare,  location flexibility (preference given to those based in San Francisco, Los Angeles and New York), and work time flexibility to support the positive mental and physical wellness we exist to inspire. Compensation will be commensurate with experience and location within a range of $65k-$75k.
