Position Overview
The ICA Administrative Manager is responsible for managing the Facilities and Daily Operations of the
ICA to promote its overall efficient function while achieving its purpose and mission of Program
Management and Community Service as directed by the Board of Trustees.

Responsibilities of the ICA Administrative Manager

Employee Management

  • Manages the custodians, receptionists, and the night-keepers 
  • Schedules, vacations, and attendance
  • Ensures work is delegated properly and performed as expected
  • Conducts Bi-weekly staff meetings
  • Reports employee performance feedback to the HR Committee
 

Daily Operations

  • Report on general supplies and equipment needed for ICA
  • Communicate needs with Chair/Purchasing Committee
  • Oversees and directs the Volunteers
  • Assists Imams of the ICA
  • Oversees and supervises 3rd Party Contractors and Follow-up
  • Surveys maintenance needs for all ICA buildings on weekly basis and report any needs to
 

Maintenance Committee

  • Ensures ICA’s compliance with city, state, federal laws and codes
  • COVID PPE Protocols
  • Food Service, elevator, fire suppression system, fire alarm inspections
  • Assure all Funerals run smoothly and Isboas are scheduled properly. Imams are present and notified.


Program Management

  • Implement strategic plans approved by the Board of Trustees
  • Assist with the execution of ICA Projects as dictated by Committees
  • Schedules facility and various ICA resources for programs
  • Ensures implementation and adherence to processes and policies
  • Submits operational reports to Chairman of the Board on weekly basis
  • Presents any and all circumstances to the Board of Trustees
 

Community Service and Outreach

  • Ensures that the ICA is represented in designated community events. ICA is first.
  • Serves as a Concierge for congregation members beyond the capacity of other staff
  • Meet and Greet – establishes a welcoming environment
  • Builds and maintains relationships with congregation and community
  • Addresses any complaints; documents and sends to Chairman and Administration Committee in a timely and professional manner


Qualifications

  • Minimum Associate's degree in Business, Office Management, or related field.
  • Bachelor’s Degree preferred
  • 2 years office or administrative experience.
  • Proven organization and time management skills
  • Excellent communication and interpersonal skills.
  • Fluent in Arabic and English
  • Strong computer skills and ability to operate office equipment.
  • Ability to handle stress and problem solve.
  • Ability to keep confidential and sensitive information.
  • A commitment to standing as a moral and upstanding representative of the community


Accountability: To the ICA Board of Trustees

Direct Reporting: To the Chairman of the ICA Board of Trustees

Salary and Benefits (commensurate with experience)

  • Position will be bonus eligible with qualified objectives (ie. Fund raising initiatives etc)
