How you make a difference:
The Administrative Assistant will report to the Health Services Administrator (HSA) or Program Manager (PM), and will be responsible for providing administrative and professional support to the operations management team. This includes managing the day-to-day office tasks, scheduling appointments, organizing meetings, and ensuring the smooth running of the office. The ideal candidate should have excellent communication, organizational, and multitasking skills, and should be able to work well under pressure in a fast-paced environment.
Key Responsibilities:
- Provide administrative support to the Health Services Administrator, Assistant HSA, and Director of Nursing, including updating personnel records and supervising clerical staff.
- Manage and maintain statistical data, inventory, and ordering of clerical supplies and forms.
- Assist with payroll functions, including verification of time cards and coordination with corporate office.
- Verify accuracy of off-site bills and prepare reports as directed by HSA.
- Assist in job shadowing, orientation, and training of new employees as needed.
Qualifications & Requirements:
Education
- High school graduate
- Bachelors or Associate Degree, preferred
Experience
- One (1) year of experience working in an office environment, or completion of business courses with certification
- Previous correctional/detention facility experience
- Two (2) years of experience working in an office environment, or completion of business courses with certification
- Human Resources experience
- Experience with monitoring and tracking employees’ hours and scheduling
- Experience with scheduling appointments and follow up with patient care (or Medical Front Office experience)
- Experience using timekeeping and scheduling software, or ability to learn
- Experience using Electronic Medical Record systems, or ability to learn
