We are looking for an Administrative Assistant that is a team player with an upbeat attitude, who can multi-task and has great communication skills. Accountability in the workplace and optimum attendance is important.
The ideal candidate will possess experience in the following areas:
- Be able to assist management and all visitors to the company by handling office tasks and data entry.
- Provide polite and professional assistance via phone, mail, and email, making reservations or travel arrangements when required, and generally being a helpful and positive presence in the workplace.
- Professional, polite, attentive and accurate; always be prepared and responsive and willing to meet each challenge directly.
- Comfortable with computers, general office tasks and great at both verbal and written communication skills.

Responsibilities:
- Handle office tasks, such as data entry, filing, generate reports and presentations, set up for meetings.
- Providing real-time scheduling support by booking appointments and preventing conflicts.
- Screen phone calls and routing callers to the appropriate party.
- Generate reports (including charts and graphs), transcribe minutes from meetings, create presentations, and conduct research.
- Greet and assist visitors.
- Anticipate the needs of others in order to ensure their seamless and positive experience.
- Excellent time management skills and ability to multi-task and prioritize work
- Support budgeting and bookkeeping procedures
- Track stocks of office supplies and place orders when necessary
- Supervise administrative staff and divide responsibilities to ensure performance
- Coordinate office activities and operations to secure efficiency and compliance to company policies
- Handle sensitive information in a confidential manner
- Book travel arrangements
- Maintain up-to-date employee holiday records
Requirements:
- A minimum of two years proven experience as an office administrator, office assistant or relevant role
- Excellent organizational and leadership skills
- Knowledge of office management systems and procedures
- Outstanding communication and interpersonal abilities
- Excellent computer skills including Microsoft Outlook, Word, Excel and PowerPoint
- Attention to detail
- Be an independent problem solver
- Desire to be proactive and create a positive experience for others.
Education
Some college desired but not required
