MP Systems is hiring an Administrative Assistant for the New Berlin, WI location. This position will provide administrative support to the Branches and will support Branches and company by performing a variety of duties such as meeting planning, updating various spreadsheets, answering calls, assisting field personnel. To take charge of challenging projects, encourage teamwork, and supply energy and enthusiasm required to continually improve processes within the Branch, thereby supporting Branch Supervisor, Project Managers, and other administrative staff to help MP Systems, Inc. to meet or exceed our objectives. Payrate for this role is $16-$18 per hour.
Responsibilities:
- Assist in phone coverage and associated communication between customers, vendors, supervisors, project managers, and field personnel.
- Type documents-letters, reports, memos, lists etc., which may involve viewing and producing confidential documents.
- Open any work authorizations on the computer system as needed.
- Timely and accurately fulfill the billing of the Branches.
- Work with Project Managers to create, process and mail invoices to customers.
- Maintain and update crew roster.
- Drug testing. Coordinate random drug testing with the HR Department on a quarterly basis for all employees who hold a CDL license. Help individuals with the necessary referrals, keeping all information completely confidential. Coordinate any pre-employment, post-accident, or return to work tests as needed.
- Coordinate Branch meetings and banquets as needed by the managers.
- Special projects when needed.
- Assist with compiling Field/Office packets for various customers as needed.
- Annually perform review of employee’s driving record
Requirements:
- High school diploma required.
- 2-4 years prior experience in administrative support role required; emphasis in construction field preferred.
- Customer service oriented.
- Intense attention to detail with accuracy and consistency
- Positive safety attitude and personal integrity – both are non-negotiable
- Excellent Communicator, both verbal and written
- Computer/technical skills including experience with Microsoft Office programs (Word, Excel, PPT).
- Moderate computer and software skills for basic data entry
- Ability to reason and think logically in problem solving.
- Ability to multi-task and prioritize various daily responsibilities to meet deadlines.
- Competence to keep personnel information strictly confidential
